Frequently Asked Questions About Your Diploma

Candidates for graduation are expected to file an application for graduation with the Office of the Registrar well in advance of their expected date of graduation. See Academic Calendar for the deadline to apply for Graduation.

Students wanting to participate in the commencement ceremonies should be aware of the following procedures:

Commencement will be held Sunday, May 10, 2009. On that date we will honor those students who have completed their studies during the 2008-2009 academic year.

II. Application Process
Candidate for Graduation who have met their degree requirements must complete an application for degree available in the Office of Records and Registration. You can also complete & download the application from the link below.
All applications must be signed by the student in ink.
Check with your academic counselor to insure that ALL academic degree requirements will be completed. The will submit a official plan of study to the Office of Records and Registration.
Settle all outstanding financial commitments (i.e. library debts, security, fines, etc.). Click on "Student Information System" to check your record.

III. Graduation List
Once your application has been processed, your name will be placed on the graduation list which will allow you to purchase your cap and gown at the appropriate time and insure that your name is included in the commencement program.

Students who fail to apply for graduation by the deadline, or who apply late, run the risk of not having their names included in the commencement program.

Please note that the form can be filled out online, but must be printed out, signed, and submitted to the Records Office. The application cannot be emailed. Undergraduate students completing the online application are required to submit the application to their Academic Counselor for approval. At all times applications for graduation must be signed in black/blue ink by the student.

Note: Students who file their degree applications after the specified graduation date will automatically have their degree awarded at the following conferral.

Please notify the Records/Registration Office of any changes in name, address or degree information prior to your graduation! In addition, if a student fails to graduate, he/she is responsible for reactivating by notifying the Registrar's Office of the next anticipated date of graduation.

1. When will May 2008 Diplomas be able for pick up in the Office of Records and Registration?

May 2008 Diplomas will be available starting August 1st, 2008.

2. I indicated that I wanted your office to mail my diploma to me. When will diplomas be mailed?

May 2008 Diplomas will be mailed starting the week of August 15th, 2008.

3. If there is an error on my diploma, what recourse do I have to secure a replacement?

In order to secure a replacement in the event of an error, the original diploma must be returned to the office in person or via mail to the Office of Records & Registration. It will take approximately 4-6 weeks to get a corrected diploma.

4. What are the procedures for changing my name and ordering a new diploma?

A change of name form must be completed along with a diploma replacement form and submitted to the Office of Records and Registration. Both forms must be notarized in order for it to be accepted. Please note: The change of name form must indicate the reason for the name change. If the change of name form is by court order, a copy of the court order must be accompanied with the change of name form. See instructions below for ordering a replacement diploma.

5. What are the procedures for ordering a replacement diploma?

Replacement Diplomas: If you need to order a replacement diploma, you will need to download a copy of the replacement diploma form and return it to the Office of Records & Registration along with a check for $35.00. You may pay by check or money order (payable to Long Island University), or credit card (MC, Visa or Discover). Please attach the fee and return it along with the application form by U.S. mail to the Office of Records and Registration. Indicate whether you wish your new diploma to be mailed or you prefer to pick it up. If you elect to have your diploma mailed, we will send it by Certified U.S. Mail, so please be sure to supply an address at which someone will be available to sign for the delivery of your package during the day. Please note that diploma processing usually takes approximately 8 weeks from the time your form is received.

Note: Your new diploma will: 1) Bear the date of the original, but will be signed by the current administrators of the University and your School 2) Must bear the name under which your degree was issued 3) be issued in the form in current use and may not exactly match your original diploma.

6. In case of a move, how do I obtain my diploma?

In case of a move (within the USA and internationally), you must notify the Diploma Facilitator at the Office of Records and Registration of your new address in person, via US mail or through email to edward.strasburger@liu.edu. . In your letter, indicate you wish to have your diploma mailed to the new address. When diplomas are in the process of being mailed, your diploma will be mailed to the address ONLY in the system unless there is other written authorization to send the diploma to another address.

7. How does one change the status of their diploma being picked up or mailed?

Students must notify the Office of Records & Registration in person or via phone 2 weeks before diplomas are available for pick up. The deadline for May 2008 graduates to change the shipping status of your diploma is July 15th, 2008.
